Instructions for outgoing exchange students
All outgoing exchange students from UEF must make a study plan (Learning Agreement, LA) for their exchange period. The Learning Agreement is, essentially, a list of courses you will take during your exchange at the host university
NB! You do not need to have a Learning Agreement in your first application to UEF. The Learning Agreement is made after you have been accepted for student exchange at the first stage of the application process.
Learning Agreement forms may be specific to exchange programs. Please follow the instructions you will be sent.
General information about LA
Take a look at your host university’s course offerings and possible restrictions. Please note that not all courses offered at a host university will be available for exchange students. Pay attention to possible restrictions or prerequisites when selecting courses.
How does the Learning Agreement work in practice?
The Learning Agreement is a plan about your studies during the exchange and their inclusion into your degree at UEF. In Erasmus+ funded exchanges, students compile an online Learning Agreement, and in other programmes, students use UEF’s own form.
The student is responsible for making sure all the information in the LA is correct. In the online LAs used in Erasmus+, the student will also include a plan on how the studies can be included into their degree. Regardless of the exchange programme, the student should always connect with their departmental coordinator about their LA and go over the information together before signatures.
Generally, exchange studies can be included into your degree in one of two ways, either inclusion or substitution. If you are planning to directly substitute a UEF course with a course completed during exchange, always discuss this with the course’s responsible teacher beforehand. Direct substitutions are always at the discretion of the responsible teacher.
Signatures to the LA
The LA is signed by three parties: the student themselves, the departmental coordinator, and the responsible person at the host university.
International Mobility Services do not sign any study plans.
Erasmus+ funded exchanges use online learning agreements that are compiled and signed in the SoleMOVE system. In other programmes (e.g. bilateral exchange, ISEP), students compile a PDF form that is signed traditionally. If you are not able to print and scan your LA, you may fill it electronically and email it to your departmental coordinator at UEF, who may sign it via UEF Sign. Please have the contact person at your host university sign your Learning Agreement as well, either before your exchange or at the beginning of it. Once your LA has been signed by you and both home and host university contact persons, please scan or take a high-quality picture of the document and upload it to your original application on SoleMOVE, on the After Exchange tab.
It is very likely that you may have to adjust your course selections once your exchange period has begun. In this case, please fill out the Changes to Learning Agreement form. This document needs to be signed by both your home and host university contact persons as well. Please remember to discuss the changes with your home university’s departmental coordinator. For Erasmus+ online learning agreements, changes are done to the original LA form and the form is then re-signed.
In a nutshell:
- Choose courses from your host university’s website (or other provided source) and fill out the Learning Agreement form your exchange coordinator has sent you.
- Have your departmental coordinator of international matters at UEF approve (i.e., sign) your LA.
- Don’t forget to sign your LA yourself!
- By the time your exchange begins, please have the contact person at your host university approve (i.e., sign) your LA.
- Scan/take a high-quality picture of the document and upload it to your original application on SoleMOVE. NB! Erasmus+ funded exchange (Erasmus+, YUFE, Nordplus, Nordlys) students will compile their LAs in SoleMOVE, and they do not need to upload it separately.

Erasmus+: Digital Learning Agreement (DLA)
Students need to complete Digital Learning Agreement (DLA) for their Erasmus+ study exchange. DLA is also used for Nordlys and Nordplus study exchanges funded with Erasmus+. Exchange coordinator will send you instructions on how to fill in the Digital Learning Agreement. Digital Learning Agreement can also be called as an Online Learning Agreement (OLA).
