Before departure – a checklist for exchange students

PrintThis checklist outlines the steps you need to take before finishing your exchange period at the University of Eastern Finland and returning home.
Important: Please do not leave your campus city before contacting International Mobility Services (Päivi Haltilahti in Joensuu or Kirsi Konttinen in Kuopio).
Housing
- Give notice to end your student housing lease at least one full calendar month before your departure. For example, if you plan to move out in May, you need to inform the housing company during April.
- Clean the apartment carefully according to the instructions provided by Elli (Joensuu) or Kuopas (Kuopio). You may lose your deposit if the apartment is not clean.
- Remember to return all apartment keys.
Documents
- Your Learning Agreement is signed at your department. If your LA needs to be signed at this point, contact your departmental coordinator (opens in new tab) to have it updated and signed.
- You can obtain a digitally signed UEF transcript of records (listing all your completed courses at UEF) via Peppi (select Atomi).
- You will have access to Peppi for six months after your study right expires. If you need a transcript after this period, or if your home university does not accept digitally signed transcripts, contact: [email protected].
- Access to UEF student email, M365, and Moodle continues for six months after the end of your study right. Access to library e-resources and printing services ends when your study right expires.
Letter of Confirmation
All exchange students require a Letter of Confirmation stating the length of the exchange (start and end dates).
- Check with your home university whether they have their own form we should use. If not, the UEF template can be used.
- To obtain signatures, visit:
- Päivi Haltitalhi, Student Services, Aurora Building (Joensuu), or
- Kirsi Konttinen, Oppari, Canthia Building (Kuopio).
- Detailed instructions and schedules will be sent by email.
- The Letter of Confirmation can be signed no earlier than 7 days before your departure. For example, if you wish the end date to be 29 May, the earliest signing date is 22 May. Please note that your home university may have different rules for the dates for their documents and you should follow those rules.
- The official end date of the Spring Semester is 29 May, which is usually the latest possible end date stated in the Letter of Confirmation, unless you have been admitted for a longer study or traineeship period.
Miscellaneous
- Return all borrowed library books and pay any overdue fees.
- If you have an access badge to UEF facilities, return it in person to UEF Key Services according to their instructions.
- If you have a survival package, return it to the Student Union office during opening hours.
- Return any ISYY sports equipment you have borrowed.
- Ensure all bills are paid and close your Finnish bank account if you have one.
- Confirm your travel arrangements (e.g. tickets) and check the regulations for luggage weight (if applicable).
