PrintFinalising the dissertation for publication
Once you have received permission to defend, finalise your dissertation manuscript for publication. Allow at least three months for the finalisation and publication process before your public defence.
Agree with your principal supervisor on the opponent and the date of the public defence. Take the time needed for the publication process into account when planning your schedule.
Finalising the manuscript
Once you have received permission to defend, finalise the manuscript in terms of content and language:
- Make the necessary corrections based on the pre-examination statements.
- Carefully check headings, the table of contents and the list of references. Make sure the script is carefully polished and error-free.
- Prepare abstracts in both Finnish and English, if you have not already done so at the pre-examination stage. The completed dissertation must include both abstracts.
- Obtain republication permissions for the articles included in an article-based dissertation, for both printed and electronic versions, if this was not done at the original publication stage.
Preparing the manuscript for black-and-white printing
The dissertation is printed in black and white by default. Even a single colour page makes the entire publication a colour print, which increases printing costs significantly.
Before sending the manuscript to print, make sure it is entirely in black and white. Pay particular attention to:
- original articles in an article-based dissertation, which may contain colour figures or charts
- images, tables and graphs in all parts of the manuscript
How to convert colour pages to black and white
If your manuscript contains colour pages, convert them to black and white before sending the manuscript to print:
- Open the colour file (e.g. an original article).
- Select Print → Print to PDF.
- Open the print settings and select Black and White / Grayscale.
- Save the black-and-white version and replace the original file in your manuscript.
Finally, check that the completed, combined PDF file does not contain any colour pages.
Colour printing
Colour printing is approved only for justified reasons. If you need colour printing, contact the Academic Affairs Specialist ([email protected]) before sending the manuscript to print.
Language editing
The language of a dissertation and abstract written in a foreign language must be checked by a language specialist.
What to send for language editing
Send only those parts that require language editing. For example, the list of references or appendices that do not need checking should not be included. Ask the Academic Affairs Specialist ([email protected]) for detailed instructions.
Timeline and costs
- Allow at least 1–2 weeks for language editing, depending on the length of the texts.
- The faculty pays for language editing once:
- Monograph: the entire manuscript
- Article-based dissertation: once for each article included in the dissertation and for the summary chapter
- The faculty does not pay for translation costs or for language editing of texts written in the author’s native language. You may purchase these services at your own expense from a provider of your choice.
- If you are employed by UEF, please inquire about language revision primarily from your own unit.
Planning the publication timeline
Plan the publication timeline together with your principal supervisor and the publication series editor or external publisher.
Take the following into account:
- time needed for layout, proofreading, printing and distribution
- allow at least 2 months for the layout, printing and distribution process
- the dissertation must be completed and published at least 7 days before the public defence
Publication options
There are three ways to publish your dissertation. Discuss the publication channel with your supervisor well in advance.
- Faculty publication series: The faculty covers the costs of basic layout and printing. You have access to the series editor’s expertise and the contract printer’s layout service.
- External publisher: You are responsible for editorial work and layout. The faculty purchases 27 printed copies (dissertations submitted for pre-examination on or after 1 August 2026: 20 copies).
- Self-publishing: The dissertation is not published before the public defence, allowing for later publication with an external publisher, for example. You are responsible for editorial work and layout. The faculty purchases 27 printed copies (dissertations submitted for pre-examination on or after 1 August 2026: 20 copies).
The Philosophical Faculty supports the publication of dissertations in the faculty series by covering the costs of basic layout and printing. You have access to the series editor’s expertise and the contract printer’s (PunaMusta) layout service.
Contact the series editor as soon as you have received permission to defend.

Costs covered by the faculty
The faculty covers the following costs:
- basic layout by the contract printer (PunaMusta)
- 30 copies of the printed dissertation (dissertations submitted for pre-examination on or after 1 August 2026: 20 copies)
Of these 30 copies, approximately 10 copies remain for your personal use (dissertations submitted for pre-examination on or after 1 August 2026: approx. 5 copies). If you need additional copies, you can order them from PunaMusta at your own expense. Additional copies are considerably cheaper when ordered at the same time as the dissertation.
You are responsible for the delivery costs of dissertations sent outside the campus.

Stages of the publication process
3–2 months before the defence
ISBN number, series number and publication list
- Request series numbers for your dissertation from the library using the ISBN request form (opens in a new tab). Enter both the series editor’s and your own email address on the form.
- Order the ISBN and series numbers only once the final title of your dissertation has been confirmed. Once you have received the ISBN number, the title can no longer be changed.
- Once you have received the ISBN number, request the publication list from the series editor. The list will be added to the end of your dissertation.
Dissertation layout
Dissertation layout refers to the process in which the manuscript is turned into a print-ready publication. It involves the visual arrangement and formatting of the text in accordance with the faculty publication series requirements.
You can either do the layout yourself or have it done by PunaMusta. The faculty recommends using PunaMusta if you do not have previous layout experience.
If you do the layout yourself:
- Use the UEF publication series layout template (opens in a new tab) (link requires UEF login).
- The dissertation covers and loose leaf are produced at the printing house. The texts for these are submitted as a Word file. Cover templates are available on UEF Intranet (opens in a new tab). See also the loose leaf template (opens in a new tab) (links require UEF login).
- Send the completed layout version to the series editor for review. The editor will ensure that the layout follows the style of the faculty series.
- Once the series editor has approved the layout, send the final laid-out PDF to the printing house.

Timeline: allow approximately 3 weeks for printing + 10 days for public display and distribution.
If the layout and printing are done by PunaMusta:

Timeline: allow approximately 6 weeks for layout and printing + 10 days for public display and distribution.
Order printed dissertations as follows:
- 6 copies for legal deposit
- 4 copies for the library: Joensuu Campus Library, acquisitions PO Box 107, Yliopistonkatu 4, 80101 Joensuu
- 20 copies to the address you provide (dissertations submitted for pre-examination on or after 1 August 2026: 10 copies). Please note that if the address is outside the Joensuu campus, PunaMusta will charge you for the delivery.
Publication agreement
- Complete the publication agreement (opens in a new tab). The agreement template is available on UEF Intranet (opens in a new tab) (UEF login required).
- Have the agreement reviewed by the series editor.
- Send the agreement to the library’s publication services: [email protected].
- The library will send an electronic signature request via UEF Sign to both you and the series editor at your UEF email addresses.
- Click the “Open document” link and log in to UEF Sign with your UEF credentials. If you do not have an account, log in using the signature invitation identifier. Sign the agreement by clicking the “Accept request” button.
- Once all parties have signed, the library’s publication services will archive the agreement.
Licensing a Doctoral Dissertation
According to the University of Eastern Finland’s policy on open science and research (opens in a new tab), publications are recommended to be published under a Creative Commons (opens in a new tab) (CC) license. This also applies to doctoral dissertations in UEF’s dissertation series. If the dissertation is an article-based dissertation, the doctoral candidate may choose to license the summary section; if it is a monograph dissertation, the entire work may be licensed.
The doctoral candidate is responsible for confirming that the dissertation can be licensed and for selecting a suitable CC license for publication. In addition to the publication agreement, the candidate must complete a checklist (opens in a new tab). The checklist compiles the key points that must be considered before applying a CC license to the dissertation and before signing the related agreement. The candidate or editor sends the completed checklist and the publication agreement for the dissertation to the library’s publishing services at: [email protected] The library will then send an electronic signature request.
The selected CC license must be indicated in the dissertation on the same page where the publication’s ISBN numbers and editors are listed or agree on an exception with the series editor. You can find the CC license statements here (opens in a new tab).
Approximately one month before the defence
Checking the proof
The printing house will produce a proof – a PDF preview of the laid-out dissertation before final printing. The file contains the covers, loose leaf and content pages.
- Check the proof carefully and make any necessary corrections.
- Send the proof to the series editor for review as well. There may be several rounds of checking. You are responsible for checking the proof.
- The series editor will review the proof and inform you of any points requiring correction.
- For the dissertation to be printed, both you and the series editor must approve the final proof. The series editor grants permission to print.
Approximately two weeks before the defence
Making the dissertation publicly available
The dissertation must be publicly available at least 7 days before the public defence, either as an electronic version online or as a printed version in the library.
Deliver the dissertations to the library two weeks before the defence date to ensure they can be made available in time. Electronic publication follows the same timeline.
The printing house delivers four printed copies to the library as per your order. The library also handles electronic publication 7 days before the defence.
Distribution of the dissertation
Ensure distribution as early as possible before the defence. You are responsible for finding the distribution addresses and for the distribution itself.

Checklist
- Familiarise yourself with the publication guidelines and contact the series editor.

If you publish your dissertation with an external publisher, you are responsible for the editorial work and layout. The expertise of the faculty publication series editors and the contract printer’s layout service are not available to you.
