Submitting, reviewing and grading your Master’s thesis

PrintWhen your thesis is complete, you submit it for review and grading following the process described below. This page explains what you need to do at each stage and how the process works.
Important: You must be registered as present both when you submit your thesis for review and when the grade is awarded. The completion date of your thesis is the date on which the grading decision is made.
Before submitting your thesis for review, make sure it includes all required appendices. Remove your study right number from the thesis.
Check your thesis for originality (plagiarism detection)
Before you officially submit your thesis for review, you must run a plagiarism check:
- Submit your thesis for plagiarism detection in eLearn Moodle using Turnitin.
- Your supervisor or principal supervisor reviews the plagiarism detection report.
- Your supervisor gives you permission to officially submit your thesis for review.

Submit your thesis for review
Once your supervisor has approved the plagiarism check, submit your thesis for review as follows:
- Convert your thesis into a PDF/A file and name it in the format SurnameFirstname20XX ([instructions for creating a PDF/A file (pdf)] in finnish).
- Submit your thesis and its appendices as a single PDF/A file for review in the UEFe-Services.
- Fill in all the fields carefully. The information is transferred as such to official documents, so pay particular attention to:
- department/unit (check in Peppi)
- the email address of the supervisor who carried out the plagiarism check (your thesis will be directed to this person)
- other supervisors
- the title of your thesis (type the title in the exact correct form – do not copy it from elsewhere).
- information regarding the plagiarism detection report as instructed by your department/unit (e.g. if the report should be attached to your thesis).
- Select the level of public access for your thesis in the library. The university recommends Open Access publishing.
- Accept electronic notifications if you wish to receive updates on the progress of the process by email (messages are sent from [email protected], with UEF Services as the sender).
You will receive a confirmation email when your thesis has been successfully submitted. If you do not receive a confirmation, contact the thesis administrator at your department (usually academic affairs secretary of the department).
If the thesis is a joint work by two students, both students must approve the submission of the thesis for review.
Your supervisor proposes the reviewers
Your supervisor proposes reviewers for your thesis and assigns a decision-maker. If your supervisor finds that the submitted thesis is incomplete, they can return it to you.
The head of department decides on the reviewers
The head of department either approves the proposed reviewers or returns the proposal for revision. Once the reviewers have been approved, you will be notified of the decision and your thesis will be forwarded to the reviewers automatically.
The reviewers submit their statement and grade proposal
The reviewers submit a written statement on your thesis and a grade proposal within one month of being appointed. The statement is submitted in PDF/A format to the electronic system.
Respond to the reviewers’ statement
When you receive notification of the reviewers’ statement and grade proposal, you respond via the form in the online service. Your options are:
- Accepted – you accept the grade proposal.
- Suspended – you request that the review process be suspended. You have the right to suspend the review once. After the suspension, revise your thesis based on your supervisor’s comments and resubmit it for review.
- Response – you attach a written response, which will be forwarded to the head of department/unit for information.
- Dispute – (only for joint theses by two students, if you disagree on the grade proposal).
Important: The review process will not proceed until you have submitted your response. In the case of a joint thesis by two students, both students are given the opportunity to respond to the reviewers’ statement, but only the student who submitted the thesis responds via the form in the online service.
Grading decision
An administrator (usually academic affairs secretary) prepares the grading decision, and the decision-maker grades your thesis based on the reviewers’ statement. If you have requested a suspension, the head of department/unit makes the decision to suspend.
If the reviewers’ grade proposals differ from each other or you do not accept the grade proposal, the head of department/unit may appoint a third reviewer.
You will receive the grading decision by email.
If you are not satisfied with the grade, you can request a written rectification from the Board of Appeal of the University of Eastern Finland within 14 days of receiving the decision.
Recording the grade and publishing the thesis
The administrator (usually academic affairs secretary) records your graded thesis in the study records system (Peppi). The person who made the grading decision is recorded as the grade approver.
The library processes your thesis according to the level of public access you selected:
If you selected Open Access publishing, the library will make your thesis openly available online, where it can be browsed, copied and printed.
