Instructions for the publication of doctoral dissertation under the Philosophical Faculty's publication series

If the doctoral candidate wishes to publish his/her dissertation under the publication series of the Philosophical Faculty, the candidate must contact the editor-in-chief of the publication series after s/he has been granted permission for a public examination. The editors of the publication series of the Philosophical Faculty are Senior Researcher Noora Heiskanen (School of Educational Sciences and Psychology), Professor Päivi Pihlaja (School of Applied Educational Science and Teacher Education), Professor Matti Kotiranta (Theology) and Associate Professor Marja Sorvari (Humanities).

Instructions for proofreading, layout and printing:

  • The Philosophical Faculty’s financial support can be used for the basic layout, printing and proofreading of the dissertation and abstract written in a foreign language. The Philosophical Faculty will grant financial support to cover publication of 30 printed copies. The invoicing address for 30 printed copies: University of Eastern Finland, Philosophical Faculty, 29980034, Salli Anttonen.   • The doctoral candidate shall be responsible for arranging the proofreading, layout and printing with UEF's contractual service providers, contact details may be obtained from the amanuensis.
  • The author of a doctoral dissertation draws up a timetable for publication. When planning a timetable, the time needed for proofreading, layout, editing, printing and delivery of books must be taken into account. In addition, a doctoral candidate must contact the publication series editor-in-chief.
  • The doctoral candidate has to make sure that the printing house delivers the printed books to the library at least 7 days (preferably 10 days) prior to the public examination. The delivery of the rest will be taken care of by the doctoral candidate her/himself.

2–3 Months before the public examination:

  • Doctoral candidate ensures that the manuscript is finalized in its language and layout. Titles, the table of contents and the bibliography must also be checked carefully.
  • Abstracts in Finnish and English must be included with the doctoral dissertation. Foreign-language abstracts should be reviewed by a language specialist.
  • Making a publication agreement with the editor-in-chief. Please, send the agreement to the library: electronic.publications@uef.fi. The library will send the agreement for signatures by using the UEF Sign digital signature service. If your dissertation is article based, send also the copies of permissions for republishing the articles to the library.
  • Doctoral candidate requests the editor-in-chief to obtain an ISBN code.
  • The author of a doctoral dissertation obtains a series publication catalogue and attaches it to the end of the manuscript. The publication catalogue is maintained by the editor-in-chief.
  • Agreement on layout, the cover of the doctoral dissertation and the printing schedule should be arranged with the printing house.
  • The layout version must be given to the editor-in-chief to view before the correction draft is prepared at the printing house.

About one month before the public examination:

  • The printing house prepares the correction draft of the folded version. The doctoral candidate checks the correction draft carefully and makes all the required corrections to the text. The responsibility for checking and correcting the text rests with the doctoral candidate. The correction draft must also be delivered to the editor-in-chief for final viewing.
  • The editor issues his/her approval for printing the doctoral dissertation.

Two weeks before the public examination:

  • The dissertation must be submitted no later than seven (7) days prior to the public examination of the dissertation as an electronic version on the university network or as a printed version in the university library, if there is no electronic version of the dissertation available. The author must ensure that the dissertation is published on time and available at the library or on the university network seven days prior to the public examination. The printing house delivers 4 printed copies to the university library. The doctoral dissertations published in the faculty’s series are also released as e-publications 7 days before the public examination.
  • The printing house delivers 20 copies to the doctoral candidate.
  • The doctoral candidate delivers the printed copies in good time before the public examination to the following persons indicated in the distribution list: examiner, (faculty representative,) custos, pre-examiners, supervisors, rector, dean and vice-deans, head of the school, editor-in-chief, and amanuensis.

Proofreading of the dissertation and abstract written in a foreign language

  • The faculty’s financial support for proofreading can be used only once, mainly after the pre-examination of the dissertation manuscript, with the exception of articles that have already been published. Ask further information about the faculty’s financial support from the amanuensis.
  • The doctoral candidate sends the finalized manuscript for proofreading, and the amanuensis accepts the order. The manuscript should be sent without bibliography and appendices which do not require proofreading.
  • If the doctoral candidate wants to submit the dissertation text or abstract for translation, this must be done at his/her own expense allowing him/her to choose a translator freely.

Layout and printing

  • Layout of the dissertation may be done personally or carried out by the printing house. If the doctoral candidate does not have experience with layouts, it is best to give the work to the printing house. The faculty pays for the basic layout, but the potential extra work must be paid by the doctoral candidate.
  • A loose leaf (i.e. title page) is placed inside the front cover of the dissertation. The leaf is printed separately. Information concerning the public examination is printed on this loose leaf in addition to the title of the dissertation and the full name of the author. Model for the loose leaf (title page) can be obtained from the amanuensis.
  • The author must check the pdf-layout carefully before the printing.
  • The Philosophical Faculty covers the costs for publishing 30 printed copies, from which the author receives about 10 copies. If the author wishes to have more personal copies, s/he can order them at her/his own expense. Financial support from the faculty cannot be used to print extra copies.

The author of the dissertation requests the printing house to deliver books as follows:

Philosophical Faculty's instructions on doctoral dissertation publication elsewhere than within the faculty's series

The faculty grants 25-30 copies of printed dissertations. The need for printed dissertations depends on whether the dissertation becomes an e-publication or whether a pdf file is available for evaluation. The publisher must negotiate the sale price of the printed books with the postgraduate amanuensis in ad-vance, FiloDoctoralstudies(at)uef.fi.

If the author of the dissertation wants more printed books for themselves than is left for them from this quantity and distribution, they can order additional copies at their own expense. The faculty does not participate in the purchase of extra copies.

The publisher or printing house delivers the books to the address indicated by the doctoral researcher. The author of the dissertation takes care of the following distribution in time before the defence:

  • 4 copies to the university library on the Joensuu campus (display piece, archiving, loan shelf in Joensuu and Kuopio). N.B! The dissertation must be submitted no later than seven (7) days prior to the public examination of the dissertation as an electronic version on the university network or as a printed version in the university library, if there is no electronic version of the dissertation available.
