The Microsoft 365 service offered by the university includes e.g. e-mail, personal storage, co-working spaces, digital notebook, Office tools (also available for UEF students to download to their own mobile devices and computers) and a search center. New apps and tools are constantly added to the Microsoft 365 environment. A list of tools is provided in the app launcher’s ‘All apps’ link.
At the UEF, Digital Services and Oppari offer support for using the following basic tools, but you may use any of the tools included in the menu that you find useful independently.

Office tools and installation
The Microsoft 365 environment also includes familiar Office tools (Word, Excel, PowerPoint and Outlook) that enable editing documents quickly on the web browser without having to install the complete Office suite on your computer. Files can be stored automatically and you can use, edit, and share the newest version also when you are on the move.
As a student, if you have registered as present at the university, you can install Office on five devices.
- Log in to the Microsoft 365 service portal.office.com (new tab, login required) with your UEF username@uef.fi and password.
- In the upper right corner, press “Install apps”.
- After downloading, install the package and login to the Office with username@uef.fi.
All the UEF students and staff members are automatically provided with an email mailbox. Student email addresses look like username@student.uef.fi. Mailboxes reside in the Microsoft Office 365 environment and you sign in as username@uef.fi.
The service can be used with computers and mobile devices, either with an email application or a web browser.
UEF email address is the official channel for study related communication. All the internal messages through e.g. eLearn, Peppi, and UEF E-services will be sent to your UEF email address. Hence, you should primarily use the UEF email address for all the study related communication at the UEF. If you change the address to your private email, services will automatically change it to UEF email address again.
UEF email is not to be used for commercial or political purposes.
You are allowed to forward the UEF emails to another email address of your preference. NB! If you are also staff, forwarding email is prohibited.
See instructions for forwarding email from Microsoft 365 to another email account (new tab).

OneDrive
Your own, personal storage space (5 TB). You can share files with other UEF people, with edit rights or read-only rights. You can also share documents with persons outside the organisation.
Remember that you cannot save everything on the cloud, check the Information protection and processing instructions (new tab, login required).
You can login to OneDrive on the M365 environment or install the OneDrive app to your mobile device or computer. Mobile device app can be found on the app store and to your computer the OneDrive installs at the same time as Office-package. As you login to the app in your computer, you can see the OneDrive files as the files on your computer.
You can use the files offline if you have downloaded the file to your computer for offline use. Notice that the changes in the file won't save to the cloud until you have an internet connection.
You can share files inside of UEF and to outsiders. Easiest way to share a file is to access it via browser, select the file or folder and choose Share. Choose who can access the file, can it be modified and add the people inside of UEF or the outside email addresses, write the possible message, and press send. Make sure you always share the files only to the people you were meant to share it!
You can restore your OneDrive up to 30 days. You can find the option on the top right settings -button -> Restore Onedrive. You can restore whole Onedrive and find lost files. Use it carefully, if you restore the situation 3 days ago, it will lose all the modification during that period.
If you want to restore a previous version of one file, you can press the three dots besides it and choose "Version history".
SharePoint
All the workspaces that you belong to are in SharePoint, and you can also see workspaces that are open to everyone. You can also create a workspace for a team if you need a place where you can organise content, data and news, and share these among the team.
