Student: Using Turnitin plagiarism detection software on Moodle prior to officially submitting your thesis for examination
Upload your thesis to Moodle for your supervisor to perform plagiarism detection on it.
Your supervisor will review the plagiarism detection report. If everything is OK, your supervisor will send you an email and gives you permission to officially submit your thesis for examination on UEF // E-services.

Once your thesis has passed plagiarism detection, create a PDF/A file of it. See instructions on video Exporting a Word document to accessible PDF/A. Thesis file name: SurnameFirstnameYear.
Submit your thesis for examination by using UEF//E-services. If your thesis is a co-authored one, your co-author will receive a request to approve the thesis submission. The co-author must approve the request for the submission process to begin.
The system will notify you of the successful submission. If you don’t receive a confirmation e-mail, contact the thesis secretary in your department.
Enter the name and email address of the supervisor who performed plagiarism detection on your thesis (please, make sure that you have the right e-mail address) and add the names of other supervisors. Please follow the instructions given by your own faculty.
Fill out all the fields of the form. This information will be transferred to the official documents, so please make sure your spelling is correct.
Select the level of access to your thesis, the UEF Library recommends Open Access publishing. Further information in Publishing
If you select that the decision relating to the examination and grading of your thesis can be communicated to you electronically, you will receive workflow emails to your student.uef.fi email address from UEF//E-services (email@example.com).
Supervisor: Presenting the examiners
The supervisor presents the thesis examiners, selects the numerical grading scale and the language of the decision to be used.
If the thesis is OK, the supervisor chooses: “the work can be taken for inspection”. By adding a decision-maker, the work will proceed to the examination process.
In cases where the thesis submitted for examination is deemed inadequate, the supervisor chooses
the option “The thesis examination process cannot be started” and the process will be suspended.
Head of the department/school: Decision on examiners
Head of the department/school may either approve or reject the supervisor’s proposal for examiners.
When approved, the system automatically sends the examiner decision and thesis to the examiners and student.
Examiners: Preparing a statement and a grade proposal
The examiners upload the statement to the system or send it to the thesis secretary. The statement is in PDF/A file format.
Student: Responding to the examiners’ statement and grade proposal.
Once the student is notified of the examiners’ statement and grade proposal, she/he responds via the form on E-services. If the student is dissatisfied, she/he includes a written statement (a rejoinder). The student has the following options to choose from: accept/suspend/rejoinder and in co-authored theses: dispute.
NB: The examination process will not proceed unless the student responds to the statement.
Thesis secretary: Preparing the evaluation decision
After the student has responded to the statement, the thesis secretary prepares the evaluation decision for the head of the department/school.
The Head of the department/school: Grading of the thesis
The head of the department/school shall judge the thesis based on the statement of the examiners or shall make a suspension decision if the student so requests. If the grade proposals are not consistent or the student does not accept the grade proposal, the head may, at her/his discretion, appoint a third examiner. The student will be notified of the decision on the grade by e-mail.
A student who is not satisfied with the evaluation decision may apply to the appeal board of the University of Eastern Finland for a correction in writing within fourteen days of the decision being notified.
Thesis secretary: Entering the thesis in the study register
The thesis secretary enters the graded thesis in the study register. The head of the department/school makes the final decision on the thesis evaluation and is thus marked as the assessor.
The Library: Publishing of the thesis
The thesis will be published by the library with the level of access selected by the student. If you choose Open Access, the UEF Library makes the thesis publicly available online. The thesis can then be freely accessed (read, copy, print) by anyone. You can email the library a written request to change the level of access (firstname.lastname@example.org).
