University of Eastern Finland to introduce digital degree certificates – what will change and why?

The University of Eastern Finland will introduce digital degree certificates as of 1 August 2022. From that date on, traditional degree certificates printed out on paper will no longer be routinely issued.

The digital format makes it faster for students to get their certificate, easier to keep it safe, and better supports modern job-seeking. The digital format also makes it easier to manage and archive degree certificates at the university.

What changes from the perspective of students, staff members and job-seeking?

Overall, the degree certificate process will become faster, thanks to the workflow being digitalised for students and Student and Learning Services alike.

The digital format will also make it easier to keep the document safe, as a copy of the official digital certificate can be stored in multiple places. For the university, the digital format will facilitate the management and archiving of the degree certificates. At the same time, the challenges associated with sending degree certificates abroad by traditional mail will also be eliminated.

For students, job-seeking will become easier, thanks to a readily available digital degree certificate that can easily be used in modern, digital job-seeking processes.  

Digital degree certificates will be taken into use at the University of Eastern Finland as of 1 August 2022. The university is also preparing new, collective ways to celebrate students’ graduation each academic semester.

How can I get a digital degree certificate?

Just like before, students will continue to apply for their degree certificate via an electronic form available in e-Services. Guidelines on graduation and applying for the degree certificate are available to students in Kamu. Staff members, on the other hand, can find guidelines on the digital degree certificate in the Peppi manual.

The digital degree certificate includes a cover sheet in Finnish and in English, a transcript of the academic record in Finnish and in English, as well as a Diploma Supplement in English. The English-language degree certificate is a translation of the Finnish original. If a student so wishes, they can still request a black-and-white printed copy of their degree certificate.

Once their degree certificate is ready, students will get an email notification from the university, accompanied by instructions on where the degree certificate can be downloaded and how it should be stored. In the same email, students will receive some graduation-related images (with the hashtag #madeinuef on them), which can be shared on social media. More information on the social media images will be posted on the UEF Students group on Yammer.

If a student loses their digital degree certificate, they can request a new one from the university’s Registry Office (kirjaamo@uef.fi).

On Wednesday 27 April 2022, the Student and Learning Services’ customer service desk in Kuopio is closed. The email service and phone service are open as usual. The customer service desk in Joensuu is open normally.

General mask recommendation lifted at UEF – masks may still be used according to personal discretion

The general recommendation to use masks has been lifted at the University of Eastern Finland with three exceptions, following the instructions issued by the Finnish Institute for Health and Welfare (THL). THL recommends the continued use of masks in public indoor spaces and public transport

  • for those seeking treatment or a test because of a suspicion of coronavirus infection
  • for those with symptoms of respiratory infection, who nevertheless have essential reasons to move outside their home
  • for those who know that they have been exposed to COVID-19 (for example, infections have been diagnosed in the family) and for whom close contact with outsiders cannot be avoided.

For those with symptoms, the primary recommendation is always to stay at home until the symptoms have passed. Despite the updated recommendations, each person may continue to use masks at their own discretion, for example, in indoor areas in which averting close contact is difficult.

Applying for an extension to the study right

Dear Student,

Now is a good time to check whether you need to apply for an extension to your study right.

If your study right at the University of Eastern Finland is about to expire on 31 July 2022 and you wish to continue your studies, you have to apply for an extension by 31 May. You will not receive a separate reminder in your email.

You can check your study right(s) in Peppi: peppi.uef.fi. In the top right corner, you see a button with your name in it. Click it and go to Settings. If you have more than one study right, you can browse between them by clicking on the small triangle in the top left corner, next to the name of the active study right. Check the durations of all your study rights.

University of Eastern Finland to admit 42 students from Ukraine – Open University courses offered free of charge

A total of 135 Ukrainian students applied for a separate non-degree right to study at the University of Eastern Finland in a call open this March. The university is also offering Open University courses to citizens of Ukraine free of charge.

In response to the humanitarian crisis unfolding in Ukraine, the University of Eastern Finland this March offered Ukrainian degree students an opportunity to apply for admission under a separate non-degree right to study. The university also made grants available to Ukrainian students. A total of 135 applications were received, and the university is now offering admission to 42 Ukrainian students. Ten of them will also be awarded a grant to cover their costs of travel and living.

“This separate non-degree right to study is the fastest and most flexible way to make it possible for those fleeing Ukraine to continue their university studies in Finland. The number of applications we received shows that we are meeting a real need. We are preparing to open rolling admissions in April,” Academic Rector Tapio Määttä says.

The University of Eastern Finland is also making its Open University courses available to Ukrainian citizens fleeing the war, free of charge.

“We are actively increasing the number of Open University courses offered in English to meet a demand that has been increasing also otherwise,” says Tero Karjalainen, Director of the Centre for Continuous Learning.

The call for applications for a separate non-degree right to study was aimed at students who have an existing, valid right to study at a Ukrainian university and Ukrainian citizenship, and whose studies have been discontinued due to the war. Study rights were granted based on applicants’ academic performance and the compatibility of their earlier studies with those offered by the University of Eastern Finland.

Ukrainian students who have been granted a separate study right will, later on, have the opportunity to apply for admission to the Bachelor’s and Master’s degree programmes of the University of Eastern Finland, provided that they meet the eligibility and admissions criteria.

Separate non-degree rights to study were granted to Ukrainian students by the Faculty of Social Sciences and Business Studies (26), the Philosophical Faculty (8), the Faculty of Science and Forestry (6), and the Faculty of Health Sciences (2). The separate non-degree rights to study granted to Ukrainian students are valid until 31 July 2024. Studies will be offered on the Joensuu and Kuopio campuses of the University of Eastern Finland.

The university has allocated 100,000 euros to the grants offered to Ukrainian students. Ten students completing their studies on the university’s campuses will be awarded a grant, which will be paid up until the end of July 2023.

YUFE Language Help Desk to the rescue!

How to translate a thesis abstract or an article from Finnish into English or vice versa? Do I use Finnish or English grammar correctly? Can I express myself properly in my interactions with a foreign culture?

University students, staff, and just about everyone else, sometimes need a helping hand with small translations and occasional language check. As part of the YUFE network of European universities, the University of Eastern Finland has launched a language help desk which deals with the Finnish–English language pair, sharing language-related hacks online.

“We can help students translate texts like articles, dissertation extracts and abstracts. We also offer other small-scale proofreading and translation services and resolve doubts about spelling”, say doctoral researchers Katarzyna Wisniewska and Tuuli Ahonen.

Katarzyna and Tuuli answer questions in YUFE English <> Finnish Language Help Desk which you can find on the webpages of UEF. You can send your question or text to the Help Desk via an electonic form and receive an answer straight to your own email address or it can also be published anonymously on the Help Desk web page.

“The main idea is that we are here for everyone, and anyone can ask us questions, not only university students and staff. We look at the questions sent to us through the forms together and answer them according to our schedules in person or on the website”, Tuuli and Katarzyna explain.

Katarzyna and Tuuli are qualified to answer language questions. Katarzyna, originally from Poland, had worked as a professional translator even before coming to study at the University of Eastern Finland seven years ago. She is now writing a dissertation in Translation Studies, and at the same time helping with civic-engagement activities within the YUFE network.

Tuuli’s doctoral research is focused on English Language and Translation Studies. She is a UEF doctoral student representative in the YUFE Student Board, responsible for help-desks activities. Tuuli has translated various texts for the YUFE Alliance, so the Laguage Help Desk felt like the right place to end up in eventually.

“You can also ask us questions related to international communication. Culture always goes hand in hand with language, so we can also have answers to culture-related issues”, Tuuli suggests.

In addition to the Language Help Desk, the Diversity and Inclusivity Help Desk has been launched in the YUFE network this spring to provide answers to questions concerning diversity, respect for differences, dialogue and inclusivity, as well as involvement and participation in community activities. The Diversity and Inclusivity Help Desk is run by coordinator Senni Pykäläinen and YUFE student Glyd Jun Aranes.

New thematic help desk will possibly be added, as long as there is interest. The free help desks can be found at uef.fi/yufe-helpdesk.

YUFE in a nutshell

Fault notification: some PDF files cannot be opened right now

Some of the PDF files in Kamu are shared from the M365 Sharepoint Library. These PDF files do not open at all right now. A similar issue has been identified with other M365 customers as well, and a request for clarification and correction has been made to Microsoft.

UEF IT Services and Development Services are currently exploring alternative ways to temporarily distribute documents on the website until Microsoft has resolved and fixed the issue.
